Photography Invoice Template India: GST-Compliant Guide

GST & Finance · · 7 min read

Everything a GST-compliant photography invoice in India must include — SAC code, CGST/SGST breakdown, sequential numbering, and how to stop building them manually.

What a Photography Invoice in India Must Contain

A photography invoice in India is not just a "bill" — if you are GST-registered, it is a legal tax document that your clients use to claim input tax credit and that the government uses to verify your tax compliance. Getting it wrong — wrong SAC code, missing GSTIN, incorrect tax split — is a compliance risk.

Here is exactly what every GST-compliant photography invoice must contain.

Required Fields on a GST Photography Invoice

Header

  • The words "Tax Invoice" prominently at the top (legally required — not "Bill" or "Receipt")
  • Your studio's name
  • Your registered address
  • Your GSTIN (15-digit GST number)
  • Your PAN number

Invoice Details

  • Invoice number — sequential, within the financial year (e.g., GLC/2026-27/001, GLC/2026-27/002). No gaps. No duplicates.
  • Invoice date
  • Place of supply (state name)

Client Details

  • Client's full name and address
  • Client's GSTIN (if they are a GST-registered business — mandatory for B2B invoices)
  • Client's state code

Service Details

ColumnExample
DescriptionWedding Photography Services — Mehendi + Wedding + Reception (14–16 Feb 2027)
SAC Code998361
Quantity1
Rate₹1,20,000
Taxable Value₹1,20,000

Tax Breakdown

For clients in the same state as you (intra-state):

  • CGST @ 9%: ₹10,800
  • SGST @ 9%: ₹10,800
  • Total Tax: ₹21,600

For clients in a different state (inter-state):

  • IGST @ 18%: ₹21,600

Never combine CGST+SGST with IGST — they are mutually exclusive based on the place of supply.

Totals

  • Taxable value: ₹1,20,000
  • Total GST: ₹21,600
  • Total invoice amount: ₹1,41,600
  • Amount in words: "Rupees One Lakh Forty-One Thousand Six Hundred Only"

Payment Details

  • Bank name, account number, IFSC code
  • UPI ID (for clients paying via UPI)
  • Razorpay payment link (if applicable)

Signature

  • Authorised signatory name
  • "For [Studio Name]"
  • Digital or physical signature

The SAC Code for Photography Services

Always use SAC 998361 for photography and related services. This is the official classification under India's GST service classification system.

Photography ServiceSAC CodeGST Rate
Photography (general, wedding, event, commercial)99836118%
Videography and cinematography99836218%
Photo editing and retouching99836118%
Photo album printing99891218%

Using the wrong SAC code (e.g., 9983 instead of 998361) can cause issues during GST scrutiny. Always use the full 6-digit code.

Invoice Numbering: Sequential and Audit-Ready

GST rules require sequential invoice numbering within a financial year. The sequence must not have gaps.

Recommended format: STUDIOINITIALS/YEAR/NUMBER

Examples:

  • GLC/2026-27/001
  • GLC/2026-27/002
  • GLC/2026-27/003

Never reuse or skip numbers. If you void an invoice, issue a credit note — do not delete the invoice.

Financial year in India: April 1 to March 31. Reset your invoice sequence on April 1 each year.

Common Photography Invoice Mistakes to Avoid

1. Writing "Invoice" instead of "Tax Invoice" The word "Tax Invoice" is legally required for GST. "Invoice" alone is not sufficient.

2. Missing the SAC code Required on every GST invoice. 998361 for photography and editing services.

3. Wrong tax type (CGST+SGST vs. IGST) Intra-state shoots: CGST+SGST. Inter-state shoots: IGST. The place of supply is where the photography service is actually performed — not where you or the client are registered.

4. Charging GST on advance and then charging again on the full invoice Correct process: Issue a receipt voucher for the advance (or an advance invoice) and then adjust it in the final invoice. Your CA can guide you on the right treatment.

5. Not maintaining a sequential invoice register Keep a running log of all invoices issued. Your CRM should do this automatically.

Generating Photography Invoices Automatically

  • CGST/SGST or IGST applied based on client state

Frequently Asked Questions

Q: Do I need to issue a GST invoice for clients who are not GST-registered (individual wedding clients)? A: Yes. If you are GST-registered, you must issue a Tax Invoice for every service — regardless of whether the client has a GSTIN. For individual clients without a GSTIN, leave the client GSTIN field blank.

Q: A client paid in two instalments. Do I issue two invoices? A: You have two options: (1) issue a receipt voucher for the advance and a final Tax Invoice for the full amount at completion, or (2) issue a separate Tax Invoice for each payment. Option 1 is simpler for most photographers. Consult your CA for your specific setup.

Q: Can I issue invoices in USD for NRI clients? A: No — GST invoices must be in INR. For NRI clients, the invoice is in INR; they pay the INR amount from their NRE/NRO account or via international card to your Razorpay account.

Q: My client's company wants an invoice with their PO number. How do I include it? A: Add the PO number in the invoice description or notes field: "As per PO No. [XXXX] dated [date]." The GST invoice format itself does not have a dedicated PO field, but including it in the notes is standard practice and acceptable to corporate finance departments.

Q: I made an error on a GST invoice already sent. How do I correct it? A: Issue a Credit Note (for reducing the amount) or Debit Note (for increasing the amount) referencing the original invoice number. Do not delete or modify the original invoice — that is a compliance violation.
